Have you ever tried to associate 12,000 legal citations with records categories in a records retention taxonomy? If you are reading this you probably have and as a records manager or RIM consultant you know how time consuming and tedious this can be. This can be the downside of having precise legal citations across a large set of international jurisdictions.

Indexing or categorizing the legal citations into groups helps, but this still left our consultants and partners with thousands of associations to make manually. Enter the Legal Index Mapping Wizard. This extremely powerful feature (and a little dangerous at times) allows users to “map” or associate index tags embedded in our legal research (citations) with record classes in their taxonomy or classification scheme, and at the press of a button map an entire legal library into place. For example, you might map “Contracts” from our legal index to a variety of records that represent contractual arrangements from employment, to vendor, to fiduciary contracts. The wizard will make the lower level associations of mapping contractual limitation statutes, law and regulatory requirements related to contract retention, to your record classes.

The process is simple but requires some training and a strong familiarity with the customer's records classification scheme. Just select the terms from our legal index and the related terms from your records retention schedule that you want to link together. Launch the wizard, choose the jurisdictions you want and the method of mapping. Press go. Is this a perfect solution to setting retention periods across multiple jurisdictions? No, but in the hands of a well qualified RIM professional, it will get you close in a short amount of time. I'm  a big fan of the 80/20 rule.
